The Receptionist for our West Texas Office will be the first point of contact for visitors, clients, and new hires, providing exceptional customer service and administrative support. This position will play a key role in maintaining a positive and welcoming atmosphere in our office.
Essential Duties and Responsibilities:
- Greet and assist visitors, clients, drivers, and new hires in a courteous and professional manner, ensuring a positive first impression.
- Handle incoming calls, route them appropriately, and take accurate messages when needed.
- Maintain a clean, organized, and stocked front desk and reception area.
- Prepare new hire orientation materials, verify I-9 documentation, and assist with onboarding tasks in UKG.
- Take new hire photos, assign assets and temporary cards, and coordinate lodging arrangements as needed.
- Provide general administrative support, including data entry, filing, scanning, copying, and mail distribution.
- Assist with scheduling, ordering orientation meals, and coordinating meetings or office events.
- Communicate effectively with leadership and team members through Slack, email, and company phone.
- Collaborate with other departments to support smooth operations and efficient communication.
- Uphold company policies, maintain confidentiality, and demonstrate professionalism in all interactions.
- Perform additional duties and special projects as assigned by the Office Manager or Operations Leadership.
Qualifications:
- High school diploma or equivalent required.
- Proven experience as a receptionist or in a similar role. Experience in a field office setting is desirable.
- Excellent verbal and written communication skills. Ability to communicate effectively with diverse individuals.
- Strong customer service orientation with a positive attitude. Ability to handle difficult situations with professionalism.
- Exceptional organizational and multitasking abilities. Attention to detail is crucial.
- Proficient in using office equipment (e.g., phone systems, printers) and computer applications (MS Office suite).
- Dependable and punctual, with the ability to manage time effectively.
- Discretion and integrity when dealing with sensitive information.
- Maintain a valid driver's license that meets the Company’s insurance requirements.
- Must be able to read, write, and speak English, bilingual preferred.
